Rules & Regulations on the Use of the Computers in the Medical Staff Lounge of SJMC

The Following are Some Rules on the Use of These Computers

  1. General
    1. Owners and Persons in Charge of the computers.

    1. Never boot-up the computers with a floppy in the floppy drive.
    2. If you copy any Word or Excel files into the computers (whether through floppies, Zip disks, CD-ROM's, Internet or e-mail), please scan them with MacAfee ViruScan or Symantec Norton Antivirus before viewing them on the computers.
    3. Do not execute, install, or run programs from the Internet, floppy drive, Zip drive or CD-ROM drive without prior approval from the person in charge.
    4. Please do not make any changes to the configuration of any of the programs without prior approval from the person in charge.
    5. Please fill in the printer usage form if you print more than 20 pages in any 1 day.
    6. If any other member makes known that he is waiting to use the computer, please be considerate and try to finish off as fast as possible to allow him to use the computer.
  1. Internet
    1. Do not change the security level set for the browsers.
    2. Do not accept or run any Active X or Java/JavaScript content, controls, plug-ins, applets or programs except those certified by trusted companies like Microsoft, IBM, Toshiba, Sony and so on.
    3. If you want to download any files for later use, you may save them into,
      1. Your personal folder created under the C:\My Documents folder, e.g. C:\My Documents\NgunKW
      2. Floppy disks (files larger than 1.44 MB may be saved onto multiple floppies using PKWare’s PowerZip for Windows), or preferably,
      3. Zip disks.
    4. Do not use this computer to run any programs (files ending in .exe, .com, .bat) that you have downloaded. You may run them on your own computer.
    5. Do not view Word and Excel files (files ending in .do? and .xl?) as they may contain macro viruses which are activated when the files are viewed. These files are often found as attachments to e-mails. You may view them after scanning with MacAfeeViruScan or Norton Antivirus. Alternatively, Word documents may be viewed using WordPad which is found in the Accessories folder. WordPad does not have the ability to run macros and so cannot be infected by macro viruses.
    6. Do not enter into any site that may be construed as illegal in Malaysia, the most obvious being pornographic sites.
    7. It is not advisable to download your e-mail using these computer because,
      1. Subsequent users may view your e-mail (even if you have deleted them!).
      2. If you forget to delete your password after you are through with your e-mail, subsequent users may even download your e-mail from the mail server and also send e-mail using your identity.
      3. If the e-mail contains any patient information, there may be a possibility of a breach of confidentiality should the information fall into the wrong hands.
      4. Many of the above points are also true of web-based e-mail accounts like those from Hotmail, Yahoo, and ZDNet.
  2. Use of CD-RW (Currently only available on the Gateway XL 1300)
    1. A copy of the User Guide for the CD-RW found in the Gateway computer is found in the collection of books and guides at the end of the computer room.
    2. Members may borrow the User Guide to learn how to use the CD-RW. Please inform the Secretary of the Medical Staff Services, Norlida, if you want to borrow the guide home.
    3. The guide may be borrowed for up to 1 week at a time but should any other member require it, it must be returned within 24 hours.
    4. The CD-RW must not be used to make copies of any copyrighted material or any material deemed to be illegal in Malaysia. Any infringement of this rule will expose the member to disciplinary action by the Medical Advisory Board.
  3. Wireless Access
    1. Members must take care not to reveal the codes/passwords provided to them, to any one else. Please remember that once anyone is able to access the network, he will be able to access all the documents that are on the computers in the doctor's lounge and also documents on any other computers connected wirelessly to the network.
    2. After entering the code/password into their computer, all hard and soft copies of the code/password should be destroyed to reduce the chance of someone else getting a hold of them. We need your cooperation here.
    3. Please do not reveal your MAC (Media Access Control) No. to others as well, as it is very easy to clone the MAC number to another computer, thereby potentially allowing the other computer access to the network.
